The most common reason in 2026 is that Windows 11 now prefers its own basic printer driver over the one from the printer maker. Windows sees the printer and sets it up with a generic driver, so basic printing works, but the maker’s software cannot find the printer and the scanning, double sided and ink level features never appear.
What changed
From the middle of 2026 Windows ranks its built in printer driver above any driver from the manufacturer when a new printer is plugged in. The idea is that printing just works without a download. The side effect is that the maker’s installer, which expects to find the printer waiting for a driver, finds it already claimed by Windows and gives up. On the screen that looks like the printer is not connected, or like the installer is faulty.
How to tell this is your problem
- You plugged in a USB printer and Windows added it on its own.
- A test page prints, but the maker’s app shows the printer greyed out or says it cannot be found.
- Scanning works from the Windows Scan app but not from the maker’s software.
- The printer is a well known brand that worked fine on an older computer.
The fix, in plain terms
The fix is to tell Windows to stop putting its own driver first, remove the copy of the printer it created, and then run the maker’s installer with the cable unplugged until the installer asks for it. On a business computer the first part is a policy setting, and on some computers the switch is not yet visible in Settings at all, which is where most people get stuck.
Because the steps touch policy settings and hidden devices in Device Manager, this is one we do for clients rather than talk them through. It takes one remote session and the printer comes up with every feature the maker intended.
What you can do before calling
- Check for a Windows update and install it. Microsoft is still adjusting this change.
- Turn the printer fully off and on again, and use a different USB port.
- If you only need basic printing, you may be fine as you are. The generic driver prints.

Is my printer faulty?
Almost certainly not. The printer is doing what it should. The computer has claimed it with the wrong driver.
Will this happen with a network printer too?
It can, though it is far more common with USB. The same fix applies.
Can I just use the Windows driver?
For plain printing, yes. You will miss the scanning, maintenance and ink features the maker’s software provides.
